User Documentation For additional guidelines Help controls are located top right of each panel in the Documents and Live Page Editor. Overview Live Office Docs enables you to create instant live web documents, web snippets and web content. You can create new web pages online using the HTML Live Docs Editor and review your editing results by opening a separate browser page and inserting the page link. You can convert Microsoft Word, Excel, OneNotes, Project, PowerPoint to live web documents as well as WordPerfect, Open Office and many other applications. You must be able to save documents as either a web page (html) or as a single file web page (mht) on your computer before uploading. Live Office Docs enables you to update the content of your web pages and spreadsheets on the net at any time without the need for ftp uploading and without the need for webmaster services by using the Live Page Editor. When you alter content and save, your web page is updated instantly. Live Office Docs enables you to share large and small office documents between members. Documents and spreadsheets can be accessed simulataneously by different members. A Gallery of images, buttons, icons is located in the Live Docs Editor. This provides image links for you to use within your own web documents. Further afield you can incorporate the image URLs within your Google Docs for example to supply web spreadsheets and documents with professional image presentations.
Controls & HTML Editor The Control Center helps you move around the software, change passwords, add members and jump to the sign in pages of other members of our Live Office Suite. The Live Page HTML Editor helps you create templates and web pages. When you save a page the HTML file appears in your Manage Document area. Each Control button within the Document Management opens the control panel for the selected document. Control Panels allow you to file share, create web links and email files to members. The Manage Member page enables you to add members and change passwords. Quick Start To make it really easy to see how the software works follow through these steps:
Links After uploading a document or saving a page document in the Editor (see below) open the relevant Control dialog in the Document Management area. Click the Create Links tick box to create a View (browser) link and a download link. To copy these links into your email service, point your cursor at a link, right click and copy. The browser property of any web document (any one of Internet Explorer, Safari, Mozilla, Opera, Chrome web page) depends on which browser has been selected as the default browser in your computer when the document was saved before uploading. If you want documents to open in iPhone you have to save a web document with Safari as your default browser. If you want your document to open in Blackberry's you need to save your web documents in Opera or IE before uploading. In all cases the browser must be selected as your default browser for the browser property to be carried into My Live Office Docs.
Live Docs Editor Every new page file (html) you create with the HTML Docs Editor is listed in your Document Management area where you can create web links, share with members and email the links to your members. To learn how to use the Live Docs Editor click the Show Help link at the top right of the HTML Editor title bar. Documents created using the Live Docs Editor display an Edit link to the right of the Download link in the Document Management area. You can delete a Live document by selecting in the Document Management area and clicking Delete. The Live Docs Editor creates the HTML code which represents your document or live page. To copy the HTML code into your web site or the HTML Template Emailer, open the html source code dialog, select and copy the code. Yo import image files into your editor click the Insert/Edit image button on the toolbar. Click the selector tool to the right of the Image URL - Browse window to open the Image Manager. Click Upload, select an image from your computer and upload. To insert an image into your document select the image from the Image Manager and Insert. To add a hyperlink to a button or text drag your cursor over the object to contain the link and click the Insert/Edit link button on the toolbar and enter the hyperlink. When you want the web page to open in a new browser, select "Open in new window" in the Target field. The Gallery provides a library of buttons, clip art, images headers, titles to incorporate into your web documents. You can also copy them straight into your spreadsheets and provide professional looking presentations. The Gallery is not available in the free trial edition. To obtain image URLs, load the Gallery file into the Editor, right click a selected image and select Insert/Edit Image. The Image dialog displays the URL in the Image URL - Browse window. File Sharing -1 Every document you upload into My Live Office Docs can be file shared with your members. Select the Control dialog of a document you wish to share, select the members you want to share the document with and click OK. Hierarchy: The member uploading a document is the "owner" of the filename within My Live Office Docs. No other member can upload (or replace) a document with the same filename. If members are uploading documents received from other members they need to vary the filename slightly. File Sharing -2. You can upload and file share any of these native file types. These files do not create live web documents. .xls, .xlsx, .doc, .docx, .xml, .tiff, .tif, .pdf, .ods, .ppt, .pub .mpp .mdb .mpt, .rtf, .wps, .wpd, .mpeg, mpeg-1, .wma, .dss, .dct, .cda, .wav, .7-zip. Emailing You can email document links to members by creating the links first within the document Control dialog, selecting which links to send, selecting the email option and clicking OK. File Types To enable files to work as live web documents you must save the file either as a single page web file or web page on your computer before uploading. If your software does not permit saving files as web pages you cannot upload and convert the file to a live document with Live Office Docs. The alternative route in this situation is to copy content from your PC into the Live Page Editor, save the document and go to the Control dialog and switch on the page links. Zip Files - Special Properties Live Office Docs is engineered to accept Word and Excel web pages combined with their respective file folders in a zip file format. Other zip files will not upload.
Support Folders Sometimes web documents need to reference external files such as images, headers, graphics, etc. When you save a document as a web page a support folder associated with the document is also created. The original file and its corresponding support folder are tied together by their names. The support folder for "myspreadsheet.htm" is always "myspreadsheet_files". This naming convention makes it obvious which support folder belongs to which design file. So if you rename, copy or move a web file before uploading, always remember to do the same to the corresponding support folder, if it exists! The file and its support folder must be zipped together using Winzip and uploaded into Live Office Docs. Excel workbooks and Word document containing graphics images, headers, buttons etc must always be supported by their folder within a zip file before uploading. WORKING WITH WORD You can convert a Word document into a live web document by copying the contents into the Live Page Editor using the Paste Word menu option. Do not save your Word document as a web page. The reason is because Microsoft Word changes its formatting and layout when saved as a web document. If you want newsletters and presentational materials created in Word to become live documents upload and store your images, buttons and headers within the Live Page Editor first of all using the Add/Edit Images dialog and then import these into your document within the Live Page Editor. To convert a Word document containing images and links into a live document without using the Live Docs Editor, save the document as a web page and zip the web page file with its support folder and then upload. WORKING WITH EXCEL You can convert an Excel spreadsheet into a live web document by copying the contents into the Live Page Editor using a Table as the Placeholder. When you save a spreadsheet as a web page in Excel 2007 and then re-open the file, all formulas are converted to values (unfortunately). In previous Excel versions (2000, 2003) you are able to save a spreadsheet as a web page and when it reopens all formulas remain intact. No longer as far as Excel 2007 is concerned! If you are able to work only with Excel 2007 it is really important you save your Excel file as a 2003-2007 file type before uploading to My Live Office Docs. Then reopen the file and save as a web page with a different filename! This route ensures that the original file formulas remain intact. When you are combining My Live Office Docs with Excel to create live spreadsheets, it is far better if you can work with Excel 2003. Excel 2003 saves all formulas in web page files. Excel 2007 does not. Alternatively copy your Excel data (in Excel 2003 or 2007) into the Live Page Editor and save. Create your live links in the Control dialog. When you save an Excel workbook as a Web Page, you must upload the file with its support folder. The support file_folder holds all .xml. gif and .png files associated with the workbook. Zip the original Excel web page file with its file_folder before uploading and then upload into My Live Office Docs
Example: Save an Excel workbook {MyWorkbook} as a Web Page (htm file). This creates the file: {MyWorkbook.mhtml}. In the very same folder you will now see the support folder {MyWorkbook_files}. Zip the {MyWorkbook.mhtml} file AND its support folder MyWorkbook_folder together and upload. (Use the Files option to add the file and the Folder option to add the folder in WinZip). Use the same combination of web page and folder to create connectivity for PowerPoint files to display on the web. WORKING WITH OPEN OFFICE DOCS The instructions listed above for Word and Excel apply equally Open Office documents and spreadsheets. PAGE NOT FOUND PROBLEM If a web document does not display in your browser, switch off your anti-virus software just before you save the file on your notebook or PC (switch anti virus back on again afterwards!). Norton Anti Virus software can cause problems with Word and Excel web page documents. Alternatively copy the contents of your documents or spreadsheets into the Live Docs Editor and save. Remember to upload and insert any image files associated with your documents. QUICK TIPS When you want to distribute Excel data to members, browsers will open more quickly if you drag your data into the Live Page Editor. To copy data or text from a browser page, right click the web page and choose Select All. Then copy and drag page contents into Microsoft Word, or WikiSpaces or OneNotes. If you upload a document and the browser document displays "page not found", this fault is usually created by anti virus software on your computer, especially Norton utilities. If you upload a document and images within the original are not displayed within the browser page, you need to return to your notebook or PC to save the document as a web page. Then located the folder which is created together with the web page and zip the document file and folder together. Upload the combined zip file and then the images and graphics will appear. The file_folder contains the image files. When you want documents to open in your iPhone save the document with Safari as your default browser in your notebook or PC. If you want a document to download into your Blackberry save as a Web page (html type) on your computer and upload. If you think you have created a document link but it does not open in your browser, go back to the Control dialog, tick the Create Link box again and then click OK to save your settings. STORAGE You can upload and store up to 150Mbytes.
